An office move stays orderly when the company decides a few things before the crew arrives. This checklist is those decisions: who owns the move, when work must resume, and what is not coming along.

1. Name one owner on the company side

One person should answer questions about priorities, access and what can wait. A group chat without an owner slows every decision on the day.

2. Define when work must continue in the new space

The go-live time decides the sequence. Critical teams and equipment move on a different clock from archive shelves and spare furniture.

3. Decide whether the move is one night or several phases

Phasing by floor or department keeps part of the office working. A single overnight move suits a smaller space when everything can stop together.

4. Make a move list and a leave-behind list

What stays, what is recycled and what is stored should be marked before packing starts. Unmarked furniture becomes a decision in the corridor.

5. Confirm the new floor plan and place labels

Workstation labels that match the floor plan are how a desk, a screen and a chair meet again. Share the plan before moving day.

6. Plan IT disconnection, transport and restart

Agree with your IT owner what Star-S disconnects and what your own supplier handles. Label cables with the same codes as the desks.

7. Agree how archives and confidential papers move

Archives should travel in a known order, in closed boxes, with a person responsible at both ends. Do not mix them with general waste.

8. Check access rights, lifts and loading areas

Book goods lifts, loading bays and evening access in both buildings. A missing code stops the crew even when the van is outside.

9. Decide who dismantles and rebuilds furniture

Desks and screens can be part of the moving scope or left to the company. Write the split into the quote so the hours match the job.

10. Give staff one shared instruction

People need to know what to pack themselves, what to leave, and when their desk will be usable. One note is better than several partial messages.

11. Set a receiving order for moving day

Decide which rooms are filled first so corridors stay open. The owner on site should be able to point to the floor plan.

12. Reserve a final check before normal work resumes
